Order Status Settings

A detailed guide for clients: how to create custom CRM statuses, map them to store statuses, and achieve a unified order processing funnel.

Why Businesses Need This Setup

  • Unified Logic for the Team: different store statuses are consolidated into your internal stages.
  • Clear Analytics: reports and filters operate based on an understandable CRM funnel.
  • Less Confusion: managers see consistent statuses regardless of the order source.
  • Faster Processing: easier to control "new", "in progress", "delivery", "completed", etc.

What's on the Page

  1. Left column: "My CRM Statuses" (your internal statuses).
  2. Right column: "Store Mapping".
  3. Modal window for creating/editing a status.

Buttons and Their Functions

  • "+" (in the "My CRM Statuses" block) - creates a new internal status.
  • "Pencil" - edits the name or color of an existing status.
  • "Trash" - deletes a status (along with related mappings).
  • "Save" (in the status modal window) - saves the creation/editing of a status.
  • "Cancel" - closes the modal window without changes.
  • "Save All" - saves all store status mappings with your CRM statuses.

Step-by-Step Scenario

  1. Create your internal CRM statuses (e.g., "New", "In Progress", "Ready to Ship", "Completed").
  2. For each store status in the right column, select the corresponding internal status from the list.
  3. Click "Save All".
  4. Check in orders that statuses are displayed according to the desired business logic.

Practical Tips

  • Start with 4-7 basic stages, avoid complicating the funnel with unnecessary statuses.
  • Use clear names that the entire team interprets consistently.
  • Before deleting a status, check if it is used in current processes.
  • After major mapping changes, review order filters and internal reporting.
Important: if an external status is left unmapped, it will remain in its original form, which may complicate unified analytics.

Benefits for Business

  • Transparent control of order processing stages.
  • Faster manager performance in daily tasks.
  • Better management across multiple stores/CMS.
  • More stable metrics and forecasting for the sales funnel.
